(01) PROJECT BRIEF

ERP Implementation and Development in Dubai

DevelopPrism scopes ERP implementation around purchasing, inventory, finance, approvals and the records shared between teams. Compare standard configuration with custom modules, then plan integration, data migration, reconciliation, cutover and training. The quote follows the agreed ERP requirements; it does not promise automatic accounting or tax compliance.

When ERP is appropriate

ERP is useful when connected operational processes need shared records and responsibilities across teams. Map how orders, purchasing, stock, invoices and approvals work today before selecting modules. A fragmented process may need configuration and data work rather than a new feature for every workaround.

For a distinctive process outside the ERP, compare bespoke business software. For a staff, customer or partner browser interface, consider portal development connected to the agreed source records.

Standard configuration or custom modules?

Start by comparing the standard ERP functions with the approved process. Odoo is an option already described in our service; another platform or a custom module may fit the requirement better. The decision follows the workflows, existing systems and support responsibilities, not a claim that one platform suits every business.

Configuration adjusts the available modules and settings. Custom development fills an agreed functional gap, such as approval limits, job costing, multi-warehouse stock or service-contract dates. Record the upgrade and maintenance implications before commissioning those changes.

ApproachWhen to consider it
ConfigureStandard modules fit the process
Custom moduleAn ERP-specific rule needs new functionality
External buildA separate workflow needs its own system

Module and process ownership

Identify the department responsible for each process, its records and its approval rules. Sales, inventory and finance may rely on the same transaction but need different permissions and reports. Department owners approve the first-release module list and exception handling.

Keep financial rules and access responsibilities explicit. Decide who can change stock, approve purchases or review accounting outputs, and which information remains in an existing system. Shared records need ownership, not just another copy of the database.

Existing-system and ERP-to-CRM integrations

ERP integration can connect accounting, ecommerce, CRM, payment gateways or bank exports where the required interfaces and access exist. Define the master record, identifiers, update frequency and what staff do when synchronisation fails.

A CRM connection may exchange customer, order or opportunity records with ERP. It is not automatically a full CRM implementation or a new custom CRM product. The scope separates configuration, integrations, migration and custom development.

Data mapping and reconciliation

Migration starts with data owners, field mapping and a review of missing, inconsistent or duplicate records. Trial representative imports before cutover. Opening balances, stock counts and customer records need checks by the people responsible for the source and target systems.

Agree how exceptions are corrected, who signs off the reconciled data and what happens if the migration cannot proceed. A successful import does not by itself prove that the records and business workflows are correct.

Accounting requirements and professional review

Document the accounting records, reports and approval requirements the ERP must support. Have the client’s qualified finance or tax advisers review the relevant accounting and tax requirements and the outputs used for their work.

Configuration, migration and reconciliation are implementation tasks; they do not establish automatic FTA approval, universal tax compliance or regulatory authorisation. Record who approves the financial rules and checks the data before live use.

Acceptance, cutover and training

Nominated users test purchasing, stock, invoicing and other agreed workflows with representative data. Check permissions, approval limits, exceptions and integrations against the acceptance scenarios before release.

The cutover plan identifies migration timing, access, operational checks and responsibilities if the release cannot go ahead. Train users for the modules and tasks they actually handle, and identify who supports staff while real transactions begin.

Support and upgrade responsibilities

Agree support, fixes, updates and operating responsibilities after launch. Custom modules and external integrations may need review when a platform or API changes. New modules and changed business rules belong in the next development scope.

Handover should identify administrator access, documentation, account ownership and the people responsible for the environment and backups. Do not assume a platform subscription includes implementation, training or unlimited support.

ERP estimates and operating costs

ERP implementation is scoped by modules, configuration, customisation, migration and integrations. The estimate also records testing, cutover and training responsibilities. It is not priced using a website-portal or mobile-app package.

Platform licences, subscriptions, hosting, external API charges and ongoing support are identified separately where applicable. Agree the first release and any later phases so the business can compare equivalent implementation requirements.

(09) YOUR QUESTIONS

ERP implementation questions

When does a business need ERP?

Consider ERP when purchasing, inventory, finance or other connected processes need shared records and defined responsibilities. Map the current workflows and exceptions before choosing modules. Configuration, better data ownership or an integration may solve the problem without a large custom build.

ERP implementation or custom software: which fits?

ERP implementation fits connected processes that can use standard modules with agreed configuration or targeted customisation. Bespoke software may suit a distinctive workflow outside that model. Compare the process, records and ongoing support rather than assuming either approach is always better.

When should we use standard configuration rather than custom modules?

Use standard configuration when existing module functions can support the approved process. Custom modules are for a defined functional gap. Record permissions, acceptance checks and maintenance implications before building; customisation can affect future platform updates.

How does ERP data migration work?

Agree data owners and field mapping, review inconsistent records and trial representative imports before cutover. The responsible teams reconcile opening balances, stock and other relevant records. Correct exceptions and obtain the agreed sign-off before relying on live use.

Does an ERP implementation guarantee tax compliance?

No. Implementation does not provide automatic FTA approval or universal accounting or tax compliance. The client’s qualified finance or tax advisers should review the relevant requirements and outputs. Agree who approves financial rules and reconciles the data.

What happens during cutover?

The agreed cutover plan identifies migration timing, access, checks and operational owners. Users verify the required transactions and integrations before normal use. The plan also records what happens if a release cannot proceed and who handles issues as staff begin real transactions.

Who needs ERP training and support?

Train the staff and administrators who perform or approve the agreed module tasks. Department owners need to understand their records and exception checks. Post-launch support, updates and additional modules follow the arrangement in the proposal rather than being unlimited inclusions.

How is ERP implementation priced?

The estimate follows modules, configuration, custom development, migration, integrations and release responsibilities. Platform costs, hosting and ongoing support are identified where applicable. There is no universal ERP starting price or delivery schedule established on this page.
